Job Description – Administrative Assistant
I. Scope:
This standard shall apply to the full time position of the Administrative Assistant for the Vegreville Fire Department.
II. Position Summary:
Managing the operations in the Emergency Services Building Administration office.
III. Duties and Responsibilities:
The Administrative Assistant shall:
A. Report to the Fire Chief.
B. Assist in the preparation of the department’s budget and manage procurement and monitor expenditures.
C. Coordinate the submissions of items to the appropriate governing body such as month end reports, fire reports, accounts payable/receivable, grants, statistics, etc.
D. Maintain records, reports and files as required, such as apparatus, equipment, training, personnel, etc.
E. Act as receptionist and provide information to the public and staff as requested.
F. Be proficient in the use of all office equipment as required.
G. Maintain confidentiality and trust placed in them by their respective supervisor.
H. Input and maintain data in the department’s database.
I. Be responsible for payroll for all members.
J. Assist in overseeing of the Junior Fire Fighter program and summer students.
K. Assist in Fire Prevention Programs.
L. Perform other such duties as assigned.
IV. Qualifications:
· Appointed by the Fire Chief.
